Sports and Fitness · Software for swimming academies

Track every swimmer’s level, lane, class and term fee in one record.

A swimming academy teaches children and adults in graded classes, lane by lane, across terms. The swimming academy software holds the swimmer file, class registers, level progress and lane bookings together. Term fees, missed-lesson make-ups and pool water checks connect to the same system. Levels, lane plans and fee terms are set up with your team.

At a glance

A swimming academy sells lessons, but what it really runs is a timetable of lanes. Each class has a level, an instructor, a lane and a start time, and every one of those must agree with the pool hours before a single swimmer is booked. Parents ask. They want to know where their child stands. Instructors want to know who is ready to move up. Both need a record.

Management software for swimming academies keeps the swimmer at the centre. Enquiry, assessment swim, class, register, level badge, fee and water log all attach to that file. Start by sharing your requirements.

How the work runs today

A parent asks for lessons. The front desk books an assessment swim, and the instructor places the child at a level, such as water confidence, stroke development or squad. A class and a lane are offered. The medical and consent form is signed. The term fee is raised before the first lesson, usually while the child is already hopping about in the changing room.

Mornings and evenings are busy. Doors open early. Instructors tick the register at the poolside and note who passed a skill, while lifeguards watch the deck from their chairs through every session until the last class leaves. The duty manager tests the water and writes down chlorine and pH readings. A lesson that a child misses goes to a make-up list. At term end, level badges and report cards are handed to families.

Where it breaks

What goes wrong for swimming academies without a proper system.

Lane plans are drawn on a whiteboard

A lane holds one class, a lap lane for adults, or a squad set. The whiteboard shows the plan until someone rubs it out. Two instructors then arrive for the same lane. A class of six-year-olds waits on the deck, shivering in towels, while the desk looks for another free lane at that hour.

Levels are decided from memory

A child may pass the back float but not the breathing drill. It happens often. Instructors remember who is close to the next level, yet no sheet lists the skills passed. A parent asks why a friend moved up first. The answer is a guess, and the guess is rarely written anywhere the head instructor could check it later in the term.

Missed lessons have no home

Children miss a class for a cold, a school trip or a holiday. Make-up slots depend on which lane has a free place that week. Without a list, the front desk promises a slot that does not exist, or the child never returns. Revenue walks away quietly.

Water readings are on loose sheets

Chlorine, pH, temperature and backwash are written on a clipboard by the pool door. When a parent or an inspector asks for last week’s readings, the sheet is damp, torn or missing altogether, and the duty manager is left promising to look again tomorrow. Nobody can show a run of safe days. That worries managers.

Fees and attendance are separate books

A term pass is paid in full or by instalment, and lessons are counted from a register. A swimmer who withdraws halfway through the term leaves the pass balance and any refund as guesses taken from the register.

What the software does

What we would build for swimming academies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Enquiries and assessment swims

Log each enquiry, book an assessment swim, record the level the instructor assigns and offer a class and lane that suit the child’s age and the family’s school-run hours. The family’s answer is kept with the enquiry. Some say yes. Some wait.

Classes, levels and lane plans

Define levels from water confidence to squad. Set class sizes by lane. Keep each lane plan by hour. Instructors and lanes are never double booked, and the head instructor can see at a glance which lanes sit empty at ten in the morning and which are full after school.

Registers and make-up lessons

Tick the register at the poolside on a phone. An absence joins a make-up list and is offered into a class where a place is free.

Skill checklists and badges

Tick off skills such as back float, breathing and tumble turn against the ladder for each level, with the date and the instructor beside every tick. When the list is complete, the swimmer is moved up and a badge and report card are printed.

Term passes and fees

Sell a term, a block of lessons or a monthly pass. Count lessons used, hold pass balances for swimmers who leave mid-term or move to another class, post receipts and list who has not paid before the next block begins.

Water quality and pool log

Record chlorine, pH, temperature and backwash readings at each check, with the person and the time. Out-of-range values are flagged against the limits your pool manager sets, and the week’s run of readings can be printed for an inspector.

Instructor and lifeguard rosters

Roster instructors and lifeguards by session, record cover for a sick colleague and total the hours for pay. Certificate renewal dates are listed for the pool manager. Cover is arranged early.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions swimming academies ask before they call.

Can it show which lane each class uses?

Yes. Every class is placed on a lane and an hour. The plan flags a clash before it is saved. A printed lane sheet can be pinned by the pool door, so the instructors, the lifeguards and the parents on the benches all read the same timetable.

How are make-up lessons handled?

A missed lesson is added to a make-up list with the swimmer’s level. The front desk offers it into a class that has a free place at the same level.

Can we keep our water readings here?

Yes. Readings are entered by the person who tests, with the time. Rules for acceptable ranges are set up with your pool manager, and out-of-range values are highlighted.

Do we see a demo before agreeing a cost?

Yes. A demo with lanes and levels is shown first. The proposal that follows reflects the number of pools, lanes and instructors in your academy.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
