Run classes, levels, exams, costumes and the end-of-year recital from one student record.

Dance studios keep a timetable by room and teacher, term fees, grade entries and recital costume orders in separate books. The dance studio product holds each student’s class, level, attendance, fee and costume on one record, and shows which rooms and teachers are free.

At a glance

A dance studio sells a place in a class for a term. Ballet, hip hop, contemporary, jazz and ballroom each run at their own level, in a room with its own floor and mirrors, taught by a named teacher. Parents pay by term or by pack. Adult students drop in.

Most of this sits in a timetable on the wall, a fee notebook at the desk and a spreadsheet for the recital. Work that touches all three, such as a costume order for forty students, has to be rebuilt by hand each year.

How the work runs today

The front desk answers enquiries for trial classes. New students are recorded with a guardian’s contact, a date of birth and any injury or medical note. Each child is placed in a class by age and level. Teachers take a register at the start of every class and mark who is absent, who joined late and who is ready to move up.

Rooms are shared between group classes, private lessons, rehearsals and hire to outside groups, so a change to one slot moves three others. A teacher who falls sick needs a cover found the same morning, and every parent in the class needs to hear.

Mid-year the studio opens exam entries with an outside examining body, then plans the recital. That means a running order, rehearsal dates, costume sizes by student, shoe orders from a supplier, ticket sales and a hall booking. Fees for the term, the exam and the costume are collected separately from each family.

Where it breaks

What goes wrong for dance studios without a proper system.

Rooms and teachers clash

A private lesson is booked into Studio B while a hire group already holds it. Nobody sees the clash until two groups arrive at the door.

Students stay in the wrong level

The teacher can see a child is ready to move up a grade, yet the register holds nothing but a name. The move happens when a parent asks.

Costume orders are rebuilt each year

Sizes, colours and deposits for a recital are gathered on a sheet passed round the waiting area. Late changes reach the supplier after the cut-off.

Term fees and exam fees get mixed up

A family pays for the term, a sibling discount and the exam in one transfer. The desk cannot say afterwards what each part covered.

Missed classes have no make-up trail

A student who misses a week is promised a catch-up in another class. The promise is a verbal note that nobody tracks.

What the software does

What we would build for dance studios.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Timetable by room, teacher and style

Lay out weekly classes against rooms and teachers, with private lessons, rehearsals and outside hire in the same view so a clash shows before it is booked.

Student and guardian records

Keep date of birth, guardian contacts, injury notes, photo consent and the classes each student attends on one record that every teacher can open.

Registers and level progress

Take attendance by class, log make-up sessions and note when a student is ready for the next level or a grade exam.

Term fees, packs and drop-ins

Charge for a full term, a ten-class pack or one drop-in visit, allow sibling discounts and instalments, and let reception see the balance a family still owes.

Recital planning and costume orders

Build the running order, rehearsal calendar and costume list by student, with sizes, deposits and the supplier order that follows.

Teacher pay and cover

Work out pay from classes taught, record who covered for whom, and give the owner a monthly figure per teacher.

Common questions

Questions dance studios ask before they call.

Does it help us plan the recital?

Yes. The running order, rehearsal dates, costume sizes by student and the supplier order sit together. Ticketing and the hall booking are handled outside, and the attendance count can be exported for them.

Can parents see their child’s timetable and fees?

Yes. A guardian can see classes, balances and costume deposits for each child. What a parent may change, such as a class swap, is decided with the studio when it is set up.

We hire rooms to outside groups. Is that covered?

Yes. Hire bookings sit in the same room calendar as classes and private lessons, so a group cannot be placed over a class. Hire charges are billed from the booking.

Does it submit exam entries to the examining body?

No. Each body has its own forms and portal. Entries, exam fees and marks stay with the studio, and the entry sheet prints or exports whenever the examining board wants a copy.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
