Sports and Fitness · Software for football academies

Keep every squad, session, fixture and fee instalment on one record per player.

A football academy runs age-group squads, weekly sessions, league fixtures and monthly fees for the same families. The football academy software holds the player file, the squad list, session attendance and match-day selection together. Fee instalments, kit issue and coach rosters connect to the same record. Age bands, pitch lists and fee plans are set up with your staff.

At a glance

A football academy is a small organisation with many moving parts. Nothing stands still. Players sit in age-group squads, coaches cover several squads, and the ground is shared between training and fixtures. Parents pay in instalments and expect a message the moment a session moves to another pitch or is cancelled because of rain. Messages matter.

Management software for football academies keeps the player file at the centre. Trials, registration, attendance, selection, assessment, fees and kit all attach to it. Start by sharing your requirements.

How the work runs today

An enquiry arrives for a trial. The head of youth sets a date, records how the child played and offers a place in a squad by birth year. Registration follows. A consent form, a medical note, emergency contacts and a photograph are attached to the child’s file, and the fee plan is chosen at the same sitting.

Weekdays are training. Coaches take a register on the touchline, note who is injured and plan the next drill, usually in the half hour before the first child arrives with a bag and a bottle. Weekends are fixtures. Each one needs a squad sheet, kit, a minibus and a referee report to file. Fees fall due each month. The office chases parents who have missed one.

Where it breaks

What goes wrong for football academies without a proper system.

Squad lists live in several notebooks

Each coach keeps a list of names for the under-ten, under-twelve and under-fourteen groups. The office keeps another. They drift apart. When a player moves up an age band, one list is updated and the others stay as they were. Match sheets then carry the wrong names. Coaches notice on the touchline.

Attendance and fee status are never read together

A player may miss six sessions in a row and still be marked as paid up. Another may attend every drill while an instalment sits overdue. The head coach and the accounts clerk work from separate sheets, so neither sees the whole child. Families drift.

Consent and medical forms go missing

A signed consent, an allergy note or an asthma inhaler record is filed on paper at registration. On match day, with a squad on an away trip, nobody can find it. A coach decides without the page in front of them. That is a risk.

Selection has no memory

Who started, who came on and who sat out is usually remembered, not recorded. A parent asks why a child has played little this term. The coach answers from recall, and the academy cannot show minutes played by squad and fixture. Trust wears thin.

Kit goes out and does not return

Training tops, match shirts and goalkeeper gloves are issued by squad and size at the start of the season, often from a cupboard in the clubhouse. Without a record by player, a lost shirt is noticed in the last week of the season, when the supplier has no matching stock. Replacements cost more.

What the software does

What we would build for football academies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Trials and registration

Log each trial request, the date played and the coach’s verdict. Convert an accepted child into a registered player with a consent form, medical note, emergency contacts and a squad.

Squads and age bands

Group players by birth year and ability. Move a child up a band at season change. Coaches open only their own squads, while the head of youth reads every group and can see which age bands are short of goalkeepers or a second coach.

Training register and ground bookings

Mark attendance on a phone at the touchline. Book pitches and floodlit slots by squad, so two coaches do not arrive for the same patch of grass on the same evening while the groundsman waits.

Fixtures and match day

Enter league and friendly fixtures, name the squad, record the starting eleven, substitutions, minutes played and the result. Parents are told the kick-off time. They also get the meeting point.

Assessments and progress

Coaches score technical, tactical and physical marks each term and add short notes. A report for each player is printed or shared with the family.

Fees and instalments

Set monthly, term or season plans per squad, raise the instalment due, post receipts and list who is behind, with sibling reductions and funded scholarship places already applied. Rules stay editable.

Kit and equipment store

Issue shirts, shorts, bibs and goalkeeper gloves by player and size. Count balls, cones and bibs back in after each season.

Common questions

Questions football academies ask before they call.

Does it handle several age groups with different coaches?

Yes. Each squad has its own coach, session days and fee plan. Coaches see only their own squads, while the head of youth reads every group and compares attendance across the age bands.

Can we record who started and how many minutes each player had?

Yes. The match sheet takes the starting eleven, substitutions and minutes. Totals by player and squad build up across the season and can be shown to parents on request.

How do we bring our player lists in?

Your current spreadsheets of names, birth dates, guardians and fees are loaded during set-up. Gaps such as missing consents are listed so the office can fill them in.

Is the cost the same for every academy?

No. The proposal reflects the number of squads, coaches and players, and whether you want a parent view. A demo built on football data, with squads and fixtures, is shown to you first, and only then do we agree the figure.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
