Sports and Fitness · Software for martial arts schools

Follow each student from first lesson to the next belt, with attendance and fees alongside.

Martial arts schools teach by rank, and each student carries a belt, a syllabus and a grading date that must be shown on the day. The software holds class rosters by rank and age, attendance toward grading, uniforms, fees, waivers and tournament entries.

At a glance

A martial arts school teaches karate, taekwondo, judo, kung fu or a mix. Whatever the style, a student moves through coloured belts or numbered grades, and each step needs a syllabus passed in front of an examiner.

Grading is where the records matter. Each student needs enough classes behind them, a paid grading fee and the required forms learned, and the school must be able to show all three on the day.

How the work runs today

Classes run on a weekly timetable split by age and rank. The instructor calls the roll at the start, and kids’ classes often need a parent to sign them in. Some students attend two or three times a week and some come when they can.

Before a grading, the head instructor decides who is ready. The decision rests on attendance, on forms learned and on how the student sparred in recent classes. The list is made on paper and checked against the fee book the night before.

Uniforms, belts, pads and gloves sell from the front counter in sizes that run out quickly. Dojo hire for seminars, guest instructors and tournament travel add more records, and the school’s federation numbers for each student live in a separate file.

Where it breaks

What goes wrong for martial arts schools without a proper system.

Grading eligibility is decided from memory

The instructor recalls from memory who attends and who does not, so someone with too few classes gets put forward while a student who is truly ready is missed.

Belt history is kept in several places

The belt certificate, the register and the instructor’s notebook each hold a different date. Moving to another branch means repeating the story.

Kids’ class safety records are thin

Guardian contacts, signed waivers, injury notes and allergy flags live in a folder behind the front desk. Nobody opens it before the kids line up. An instructor facing twenty children cannot say who has asthma.

Uniform and belt sizes run out

Orders go in once the shelf is bare. Parents pay in advance for a size that is still missing from stock when grading day arrives.

Federation and event entries are chased by hand

Licence numbers, weight classes and entry fees are collected before each event. One arrives without the paperwork.

What the software does

What we would build for martial arts schools.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Student ranks and belt history

Keep each student’s current belt, every earlier grade with its date and examiner, and the next grade they are working toward, so a transfer carries the whole story.

Class timetable and rosters

Set classes by age, rank and instructor, with a roll for each session and a quick sign-in for children’s classes.

Grading eligibility and results

Check classes attended, forms signed off and fees paid before a student is listed, then record the pass, the score and the new belt.

Waivers, medical notes and injuries

Hold the signed waiver, guardian contacts and any medical flag on the student, and log an injury with what was done at the dojo.

Fees, family plans and receipts

Raise monthly fees, family concessions and grading fees, then show the parent each receipt together with the month it covers and any balance still carried forward.

Uniform, belt and pad sales

Stock gis, belts, gloves and guards by size, take sales at the counter, and flag any size that is close to running out before the next grading.

Tournaments, federation numbers and seminars

Record each student’s federation licence, weight or age class and event entry, and manage seminar places and guest instructor fees.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

Common questions

Questions martial arts schools ask before they call.

Can it handle different belt systems for different styles?

Yes. A school that teaches karate and taekwondo sets up each ladder of grades separately. Ranks in more than one style can sit on one record.

Does it decide who may grade?

It shows the facts: classes attended, forms signed off and fees paid. The head instructor still makes the call and records it.

Can several branches share one student record?

Yes. A student who moves to another dojo keeps the same belt history, and each branch sees only the classes it teaches.

Are federation licences issued through the system?

No. The school stores each student’s licence number and renewal date. The federation itself issues and renews the licence.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
