Sports and Fitness · Software for yoga studios

Keep batches, mat bookings, class passes and teacher payouts in one studio record.

A yoga studio sells a place on a mat, and its records follow that place. The yoga studio software holds the weekly timetable, each batch, every pass and the attendance behind them. Teachers are paid from classes taken. Workshops and courses are billed apart.

At a glance

Most studios start with a printed timetable and a notebook. That works for one room and one teacher. It fails once passes expire in different weeks and three teachers cover seven batches, because nobody can say who is owed classes or what each teacher has earned.

Studio software for yoga puts the student and the mat together. Booking, pass balance, attendance and renewal are read from one record. Share your requirements to begin.

How the work runs today

A student buys a monthly plan or a ten-class pass, then books a morning or evening batch. At the desk the pass balance is checked before the student is marked present, and when a batch is full the next person joins a waiting list. Beginners take a trial class first. The desk notes who is still deciding.

Teachers take Hatha, Vinyasa, prenatal or restorative classes and are paid by class or by head. At month end the owner adds up attendance sheets to work out each payout, and the evening disappears. Weekend workshops and teacher training courses carry their own fees. The students on them are rarely in the same list as the regulars.

Where it breaks

What goes wrong for yoga studios without a proper system.

Pass balances are not written against the student

A student claims four classes left, the desk thinks two. Without a count that falls at each check-in, the argument is settled by whoever is more polite on the day.

A full room has no waiting list

Eight mats are booked, a ninth student arrives, and cancellations come in too late to use. Nobody is called from a queue, so the freed mat stays empty.

Renewals are noticed after a pass lapses

A student stops coming because the plan ended last week, and the desk finds out only when the mat stays empty for a fortnight. No reminder went out. Nobody rang.

Teacher payouts rest on handwritten sheets

Per-class and per-head rates differ between teachers, and a substitute class is added by hand when someone is ill. Month end takes an evening, and a teacher who disagrees with the total has no sheet to point to.

Workshop payments sit apart from class fees

A weekend intensive and a teacher training course are paid in instalments recorded in a separate notebook, far from the student’s regular record. Nobody sees the whole account in one place.

What the software does

What we would build for yoga studios.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Class schedule and batches

Lay out the weekly timetable by room, teacher and style, with batch size, a substitute teacher and a cancelled session recorded on the same grid. A change reaches the students booked.

Booking and waitlist

Students reserve a mat for a batch. A full class opens a queue, and the first name in it is offered a freed place by message. The rest wait their turn.

Memberships and class passes

Monthly plans and ten-class passes count down at each check-in. Expiry date, a freeze for travel and a transfer to a family member are held on the pass, so the desk never argues from memory.

Teacher payouts

Per-class and per-head rates for each teacher are applied to classes taken, and substitutes and workshop shares are added to the statement.

Workshops and teacher training

Open registrations for a weekend intensive or a certification course and take instalments. Hours attended are tracked against the hours the course asks for.

Online and hybrid classes

Mark a batch as in-room, online or both, with the link sent to booked students. Mat spaces and online seats are counted separately.

Common questions

Questions yoga studios ask before they call.

Can a pass be frozen when a student travels?

Yes. A freeze moves the expiry date by the days agreed and is noted on the pass, so the desk sees the new date at the next check-in. No one recalculates it.

Do we need it for a single room with one teacher?

Not always. A paper register can carry one batch. Once passes, a waiting list and a second teacher arrive, a shared record saves the evening spent adding up sheets by hand.

Can teacher training courses be billed in instalments?

Yes. Each course has a fee plan, and every instalment is posted against the student. Hours attended are kept for the certificate your studio issues, and an unpaid instalment is flagged early.

Will it handle classes taught partly online?

Yes. A batch can be in the room, on a call or both, and each mode has its own seat count. Online students get the joining link by message.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
