Run members, pitch bookings, fixtures and subscriptions from one club record.

A sports club runs on volunteers and a few paid coaches, and its records sit in a membership list, a fixture sheet and a treasurer’s book. The sports club software joins them. Each member, squad, fixture and subscription is held together, pitches are booked against one diary, and coaches are paid from sessions taken.

At a glance

A club keeps the same people in several lists. The membership secretary has a register, the team manager has a squad sheet, and the treasurer has a book of subscriptions that nobody else can read. Nothing connects them. Everyone is sure their own list is right.

Club management software for sports clubs puts the member first. Subscription class, squad place, match fees, kit issued and coaching sessions all hang from one record, so the secretary, manager and treasurer read the same facts.

How the work runs today

Members join as seniors, juniors, students or families, and each class pays a different subscription on a different date. Juniors move up an age group each season. The membership secretary edits the register by hand and chases unpaid fees before the first fixture of the year. It is slow work.

Each week the team manager picks a squad, books the pitch or court, tells players the meeting time and collects match fees on the day. Coaches run training for several age groups and are paid by session. At month end the treasurer reconciles bank transfers, match fees, bar takings and sponsor payments against each other. Committee members want numbers that evening. They wait.

Where it breaks

What goes wrong for sports clubs without a proper system.

Subscriptions are matched by memory

A bank transfer arrives with a surname and no class. A guess decides which family it belongs to, and a junior plays a fixture with the subscription still marked unpaid.

Pitch bookings clash

The first team, the under-12s and an outside hirer all ask for the same pitch on Saturday morning. The diary is a wall chart. The clash is found at the gate by a groundsman holding the keys.

Squads live in message groups

Availability replies are buried in a chat thread, so the captain counts them by hand on Friday night. A player who said yes on Tuesday is left out of a side that is then one short.

Match fees are collected twice or not at all

Cash is passed around at the boundary edge. Nobody can say who paid for the away fixture, or which fee covered the referee, once the bag has gone home with the manager.

Kit is issued without a record

Shirts, bibs and balls leave the cupboard before each fixture. Counted against the purchase book after the last fixture, the cupboard shows fewer shirts, bibs and balls than the club paid for. No squad is named against the missing sets.

What the software does

What we would build for sports clubs.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Member register and family groups

Hold each senior, junior and social member with date of birth, guardian, medical note and playing position. Siblings are linked so one family sees one account, one balance and one set of fixtures.

Subscriptions by membership class

Set a fee for each class and season. Instalments, late fees and a family reduction follow the club’s own rule, and unpaid members show on the team sheet before selection.

Ground and court diary

Book pitches, nets, courts and the clubhouse against one diary, so home fixtures, training, outside hire and closures for repair cannot overlap.

Squads, fixtures and results

Build a squad for each team and age group. Players reply to a fixture message, the captain picks from those free, and scores, scorers and match reports are filed against the game afterwards.

Training and coach payments

Mark who came to each session. Pay follows sessions taken at the agreed rate. A first-aid or coaching certificate expiry is listed before it lapses.

Kit and equipment store

Record shirts, bibs, balls and nets received and issued per team, and check a returned bag against what went out. Gaps are named by squad.

Sponsors and the club ledger

Hold each sponsor’s agreement, the board or shirt it covers and the instalments due. Subscriptions, match fees and bar takings post to the same ledger. The treasurer reads one page.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions sports clubs ask before they call.

Can a volunteer committee run this without an office?

Yes. The secretary, treasurer and team managers each open only their own screens, and when the committee changes a new person takes over a login. No spreadsheet changes hands.

Can we charge different fees for juniors, seniors and families?

Yes. Each class carries its own fee, due date and instalment pattern. A sibling reduction or a hardship waiver is a rule your committee sets once, then applies the same way every season. No exceptions live in a head.

Does it handle several sports in one club?

Yes. A cricket section, a football section and a badminton section keep separate squads, fixtures and coaches, yet share one member list, one pitch diary and one ledger for the treasurer. Overlap is easy to see.

How are the club’s records taken out if we leave?

Member lists, subscription records, fixture lists and the club ledger all leave the system as ordinary spreadsheet or text files whenever the committee asks for them. The proposal fixes the file layouts first. The club keeps its own history.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
