Field Services · Software for commercial laundries

Count linen in, wash it by formula, count it out and bill each contract.

A commercial laundry serves hotels, hospitals, restaurants and care homes by the kilo or by the piece. The software records soiled counts at collection, wash batches, rejects, clean counts at dispatch and the contract rate behind each monthly invoice. Drivers, sorters, finishers and billing clerks all read one record per customer.

At a glance

A commercial laundry lives on counts. Soiled sheets, towels, tablecloths and scrubs arrive in carts, are sorted by type and colour, washed in batches and leave again as clean, folded stock. Every customer expects the same number back that went out.

Laundry management software gives the plant one record from collection note to delivery note. A missing pillowcase becomes a quick check rather than an argument, because drivers, sorters, wash-floor staff, finishers and the billing clerk each read and add to one shared count.

How the work runs today

Vans leave before dawn on fixed rounds and bring back soiled linen from hotels, hospital wards, restaurants and spas. At the dock each cart is weighed or counted against the collection note signed by the customer’s housekeeper. Sorters split the load by item, fabric and soil level, and anything stained, torn or foreign is set aside with a note. The wash supervisor groups the sorted lots into batches, picks the formula for each fabric and loads the washers.

After the dryers, flatwork runs through the ironer and garments go to the press line. Folders count each item, pack by customer and tick the delivery note. Rejects go back for a rewash. Torn items go to the repair table or the write-off list. The billing clerk then turns the month’s notes into one invoice per contract, checks it against the rate card and sends it with the statement.

Where it breaks

What goes wrong for commercial laundries without a proper system.

Counts differ at each end

The housekeeper counts forty bath sheets out, the dock counts thirty-six in, and the clean delivery says forty. Each side holds a different slip, so the argument has no record to settle it.

Rental and customer linen get mixed

Rental linen owned by the laundry and customer-owned linen run through the same machines. Without a pool record per customer, nobody knows how many sheets are really in circulation.

Rewash and damage are not charged to a cause

A grey load, a torn fitted sheet or a stained napkin is reported verbally. The plant cannot tell whether the fault came from sorting, the formula, the machine or the customer’s own soil.

Contracts mix kilo rates and piece rates

A hotel pays per kilo for towels and per piece for duvet covers, and a clinic pays a flat rate per scrub set. The clerk rebuilds each invoice by hand from loose delivery slips.

Rounds run on the driver’s memory

Which cart goes to which ward, which hotel needs the lift entrance and which stop closes at nine are known only to one driver. A cover driver starts blind.

What the software does

What we would build for commercial laundries.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Customer contracts and rate cards

Hold each contract with its kilo or piece rates, minimum charges, pickup days and special-handling items such as table linen or surgical drapes.

Collection notes and soiled counts

Driver and dock staff record carts, weight and counts per item against the customer’s signed note. Differences are flagged before the load is sorted.

Wash batches and formulas

Group sorted lots into batches, assign the formula and machine, and keep the load weight, cycle and chemical dosing with the batch number.

Finishing, rejects and rewash

Folders log clean counts, rejects and repairs per customer. A rejected item returns to a rewash lot with the reason attached.

Linen pool and par levels

Track rental linen by customer, compare circulating stock with the par level each site holds, and show when a pool needs topping up.

Delivery rounds and notes

Plan vans against fixed rounds, print delivery notes with the clean counts, and capture the customer’s signature at the drop.

Monthly invoices and statements

Build one invoice per contract from the month’s delivery notes, apply the rate card and show disputes beside the lines they concern.

Common questions

Questions commercial laundries ask before they call.

Can one customer be billed per kilo and per piece?

Yes. Each contract line carries its own basis, so towels can be weighed while duvet covers are counted. Minimum charges and special items sit on the same rate card.

Does it keep the laundry’s own rental linen apart from customer linen?

Yes. Owned stock is held as a pool per customer with a par level for each site. Customer-owned items are recorded only as passing through.

Can the scale feed counts in directly?

Often it can, though each scale model differs and is checked in the first workshop. Until then dock staff key the weight against the collection note.

What happens to the plant’s existing customer list?

Account names, agreed rate cards and unpaid invoices come across from the sheet or the old billing program. Your billing clerk checks the figures before go-live.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
