Retail · Software for toy stores

Keep age grades, seasonal stock, pre-orders and open-box returns on one record per toy.

Toy stores sell thousands of small items that move in waves around gifting seasons, with age labels, batteries and pieces that must be complete. This software holds stock by brand and age band, pre-orders and layaways, display samples and returns, so a busy week does not end in lost deposits.

At a glance

A toy store lives on peaks. A quiet shelf in spring becomes a queue in the weeks before a gifting season. Brands, licensed characters and fashions change fast, and last year’s best seller can become this year’s clearance rack.

Each product also carries rules a parent cares about, such as the age band, the batteries it needs and whether every piece is in the box. Those details sit on the packaging. They are not in the till.

How the work runs today

Floor staff help a parent choose by age, interest and budget, demonstrate a display sample and wrap a gift. The buyer orders from brand distributors well ahead of the season, places pre-orders for a launch and keeps a backstock room that nobody has counted since the last peak. Receiving staff open cartons to check that sets arrive with the right pieces.

Layaway customers pay in parts and collect near the date, and each plan needs a shelf, a name and a balance that someone can read at the counter. Returns arrive. Open boxes and missing parts need a decision. A product recall notice from a supplier means finding every unit sold and every unit on the shelf, then pulling the affected lots the same day.

Where it breaks

What goes wrong for toy stores without a proper system.

Seasonal stock is bought blind

Orders for the gifting peak are placed months ahead from memory of last year. Nobody can see which lines sold through. Others stayed in the backroom all winter.

Pre-orders and deposits go astray

A parent pays a deposit on a launch toy. The brand ships late or short, and the shop cannot say which customer is first in line.

Open boxes have no clear rule

A returned set arrives with a missing piece. Whether it goes back on the shelf, to a clearance table or to the supplier is decided case by case.

Age labels and safety notices are on the box only

A supplier sends a notice about a toy lot. The shop cannot list which units of that lot were sold or are still on the floor.

Display samples disappear

Demonstration units for the floor are taken out of stock without a record. They are later sold, lost or returned with no trace.

What the software does

What we would build for toy stores.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Toy catalogue by brand, age band and character

Hold each toy with brand, licensed character, age band, battery need, pack size and barcode, so a parent can be shown the right shelf.

Seasonal buying plan

Plan orders by line against last season’s sell-through, and mark which lines need a pre-season order from the distributor.

Pre-orders and layaway

Take a deposit against a launch toy or a layaway, hold the unit when it arrives, and keep the balance and collection date.

Receiving and piece checks

Open a delivery against the order, check set contents and damaged cartons, and shelve or hold what is wrong.

Display samples and demonstration units

Record which units are out on the floor for demonstration, their location and what happens to them at season end.

Returns, open boxes and clearance

Record a return with its reason and condition, then send it to the shelf, to the clearance table or back to the supplier.

Lot recalls and supplier notices

Link a supplier notice to a lot, list units on the shelf and in sold orders, and mark them pulled.

Common questions

Questions toy stores ask before they call.

Can it plan stock for a gifting season?

Yes. The buyer sees last season’s sell-through by line and brand while placing orders. The plan itself is set by the shop, and the system only holds the numbers behind it.

How are layaway and pre-order deposits held?

Each deposit sits against a customer and a toy. When the unit arrives it is held under that name, and the balance and collection date are on the record.

What happens to a toy returned with a missing piece?

The return is logged with its condition. The shop then chooses shelf, clearance or supplier return, and the choice stays on the item’s history.

Can we track a supplier safety notice?

Yes, as a lot note. The system lists units from that lot on the shelf and in earlier sales. What the notice requires of the shop is for the shop and its regulator to decide.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
