Real estate · Software for apartment communities

Keep leases, rent, maintenance requests and move-outs on one record per apartment.

Apartment communities let many homes to residents under leases that start, renew and end all year round. Leasing teams show vacant units, managers collect rent and deposits, and maintenance crews work through requests. The software holds each apartment with its lease, rent ledger, inspections and work orders. Renewals, notices and move-outs are listed before they become problems.

At a glance

An apartment community is a small town under one owner. Leasing agents, a manager, maintenance crews, cleaners, a concierge and a front office all deal with the same hundred or two hundred homes. Each has a resident, a lease, a rent account and a history of repairs that runs back years. Keys too.

Most of that history is kept in a lease binder, a rent roll spreadsheet and a maintenance book that stays in the office. Every question about one apartment means opening three. Software puts one record behind each apartment. A renewal date, an unpaid balance and an open repair appear together.

How the work runs today

Leasing begins with an enquiry by phone, web form or walk-in. The agent shows an available apartment, takes an application, checks references and any cosigner, and sends a lease for signature. The deposit is recorded and keys, fobs and a buzzer code are issued. A move-in inspection notes the condition of walls, carpet, oven, dishwasher and fittings, usually on paper with photographs kept on a phone.

Rent falls due on a set day. The office records payments by transfer, card or cheque, chases late balances and applies fees under the lease, with proration for part months. Residents report a dripping faucet, a dead thermostat or a mildew patch at the office, by message or on a form. The maintenance supervisor hands each one to a technician, and the dumpster area, intercom, lifts, parking and the pool need routines of their own.

Months before a lease ends, the manager decides whether to offer a renewal and at what rent, usually after walking the unit and checking the resident’s payment record. Holdover and month-to-month tenants are listed apart. At move-out, the unit is inspected and the deposit reconciled. Then cleaning. Then paint, then make-ready.

Where it breaks

What goes wrong for apartment communities without a proper system.

Lease dates are not visible in advance

Each lease ends on its own date, scattered through the year, and a binder shows those dates only to someone who reads every page. Vacancies arrive as a surprise. A holdover tenant goes unnoticed for weeks.

Rent ledgers sit in spreadsheets

Payments, fees, concessions and credits are entered by hand against each resident, so a balance quoted at the front desk may differ from a separate sheet. Residents notice.

Repairs are logged in a book

Requests arrive by phone, message and in person. Without one list, the same radiator leak is reported twice while a stuck balcony door is forgotten for weeks, and the technician hears of neither until a resident complains.

Turnover takes longer than planned

Cleaning, painting, carpet and appliance repairs between residents are arranged by phone calls, so the apartment sits empty while each trade waits for the one before it. Nobody owns the whole make-ready.

Deposits are settled from memory

Move-in and move-out condition is compared from photographs and notes kept in different places. Deductions for a stained carpet or a cracked oven door are argued, because the first inspection was never filed with the lease.

What the software does

What we would build for apartment communities.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Unit register and availability

Hold every apartment with its type, size, floorplan, rent and status. Show which are vacant, on notice or being prepared for the next resident, by block and by floor.

Leasing enquiries and applications

Log enquiries from every source and book viewings. Collect applications, cosigner details and document checks, then record the lease once the resident and the owner or their agent have signed it.

Lease and renewal calendar

Track each lease’s start, end and rent terms, including holdover and month-to-month tenancies. Renewal offers are listed months ahead, and the manager prices them with occupancy across the whole community in view.

Rent ledger and collections

Raise monthly rent and charges, prorate part months, record each payment and apply late fees under the lease. Overdue balances appear in a list for follow-up calls. Utility submeter readings add to the bill.

Maintenance requests and work orders

Log each request with its apartment and assign it to a technician, plumber or locksmith. Cost and completion stay on the unit, and the manager sees at a glance which jobs are late and which vendor is slow.

Inspections and deposits

Record move-in and move-out condition with photographs, room by room, covering appliances, carpet, blinds and the thermostat. Settle the deposit against the findings at the end of the lease, with every deduction tied to a photograph taken on the day.

Amenities and resident notices

Book the clubroom or court. Log parcels, visitors and recycling pickups. Send notices to every resident, one block or a single floor, by whichever channel each household prefers.

Common questions

Questions apartment communities ask before they call.

Does it suit a single building or a group of communities?

Both. One building can run with a small team. A group can hold many communities under one login, with each manager seeing only their own units and residents, and the owner seeing every one.

Can residents pay rent and log repairs themselves?

Yes. A resident login shows the balance, lets them record a repair request and receives notices from the manager. Online payment depends on the payment provider you use in your country.

Does it handle late fees and deposits?

It applies the fees and deposit terms written into your lease. What a lease may lawfully say is a matter for your own adviser and local rules. Both are reviewed during implementation.

Can it replace our lease binder?

Yes. Signed leases, addenda, cosigner forms, inspection photographs and notices are filed against the apartment, so the binder stops being the only copy.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
