Rent comes in on UPI from forty tenants and we reconcile it by hand every month.
Property management companies juggle rent and maintenance collection, owner payouts, tenant complaints and vendor bills across many buildings, mostly on Excel and WhatsApp. GullySystem builds a system that raises rent demands, matches UPI receipts, logs repair tickets and sends each owner a clear monthly statement. For PGs and shared offices we adapt our ready paying guest and coworking products instead of starting from nothing.
You sit between owners who want their rent on the fifth and tenants who want the geyser fixed today. Both sides judge you by how quickly you can answer a simple question about money or a repair.
We build the ledger, the ticket log and the owner statement your team keeps rebuilding in Excel every month. Where buildings run as PGs or shared offices, we adapt our ready products.
Each unit has a lease with rent, deposit, maintenance, escalation date and lock-in. At the start of the month someone sends rent reminders on WhatsApp, then matches bank and UPI credits to tenants, often from payments with no reference. Maintenance for common areas, water tankers and security is split across flats in a separate sheet.
Complaints arrive as calls and photos: a leaking tap, a lift stuck, a parking dispute. A supervisor sends the plumber, pays cash and files the bill somewhere. At month end every owner wants a statement of rent collected, expenses deducted and the amount transferred, and the accountant builds each one by hand.
What goes wrong for property management companies without a proper system.
We can’t tell who paid rent
Credits arrive as ₹38,000 from an unknown UPI ID, and matching them to flats takes days.
Lease renewals sneak up on us
Escalation dates and lock-in ends are in the agreement PDFs, so the rent rise is noticed three months late.
Repairs have no trail
The owner asks why ₹6,000 went on plumbing and nobody can find the photo, the bill or who approved it.
Owner statements eat the first week
Every owner wants a different format, and each statement is copied together from three sheets.
What we would build for property management companies.
Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.
Lease register
Unit, tenant, rent, deposit, maintenance, escalation and lock-in dates, with alerts before each one falls due.
Rent and maintenance collection
Monthly demands raised automatically, UPI and bank credits matched to tenants, and reminders sent on WhatsApp.
Repair tickets with photos
A tenant raises an issue, the supervisor assigns a vendor, and the bill and before-and-after photos attach to the ticket.
Owner statements and payouts
Rent collected, expenses deducted, management fee and net payout per owner, sent as a PDF each month.
Deposit and move-out settlement
Damages, pending dues and deductions worked out against the deposit when a tenant leaves.
Ready products that fit property management companies.
Each one is adapted to how your business works before it goes live, and anything your trade needs that it lacks is added then. You are not paying to build the basics again.

Can it post rent and payouts to Tally?
Yes. Rent receipts, expenses and owner payouts can be exported to Tally, so your accountant keeps the books there while your team works in the new system.
We manage PGs as well as flats. Does that fit?
It does. Our paying guest management system already handles beds, rooms and monthly rent, and we adapt it alongside the flat leases.
Is Excel really a problem at twenty units?
Probably not. A clean spreadsheet works for a handful of flats, and we will say so in the audit if that is where you are.
Can tenants raise complaints themselves?
Yes, through a simple web link or WhatsApp. Each complaint becomes a ticket your supervisor can assign and close with a photo.
What happens in the free technology audit?
We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.
How much will the software cost?
We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
