Real estate · Software for plotted development companies

Hold every plot, booking, instalment and layout work order on one record per venture.

Plotted development companies buy land, get a layout approved, lay roads and drains, and sell plots in phases. Plot status, buyer instalments, broker claims and contractor bills usually sit in separate sheets. The software keeps the layout plan, plot status, bookings, payment schedules and layout works for each venture together, so sales, accounts and the site office read the same numbers.

At a glance

A plotted venture is sold plot by plot, phase by phase, often while the roads, drains and street lights are still going in and the next parcel of land is being negotiated.

Our real estate CRM holds the plots and the buyers. Roads, culverts and the compound wall can run as layout works on the construction product beside it. Both are set up around your own ventures.

How the work runs today

Enquiries come from hoardings, property portals, brokers and weekend site visits, often with a pickup vehicle from the city. A salesperson walks the family along the layout, shows east-facing and corner plots on the printed plan, and notes the plots they liked in a diary.

When a buyer decides, a token advance is taken and the plot is marked as held on someone’s copy of the layout sheet. The sale agreement, the balance instalments and the date for registering the sale deed follow, with documents collected for the buyer’s loan if there is one.

On the site, contractors lay roads, storm water drains, water lines and electrical poles against work orders. Accounts pays their bills, the brokers’ commission and the land instalments. Each of these is tracked in a different book.

Where it breaks

What goes wrong for plotted development companies without a proper system.

Two salespeople promise the same plot

The plot status lives on one printed layout sheet, and a corner plot is offered to a second buyer after it was held. Then the apology call starts.

Instalments slip past their due dates

Balance payments are agreed at booking but followed up from memory, so overdue buyers surface only when registration is due. Collections fall behind quietly.

Broker claims overlap

Two brokers claim the same buyer, and nobody can show who registered the visit first. Each payout becomes a negotiation.

Layout works and plot sales are never compared

Road and drain bills sit with accounts, while plot receipts sit with sales, so the venture’s position is worked out in a spreadsheet at the end. Questions arrive too late.

Buyer papers go missing

Agreements, ID copies, approval references and loan papers sit in different files across the office. A buyer’s registration then waits.

What the software does

What we would build for plotted development companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Layout and plot inventory

List every venture, phase and plot with plot number, dimensions, area, facing, corner or road-facing status and rate. Each plot reads as available, held or booked, and a hold can carry an expiry.

Enquiries and site visits

Bring portal, website, call and walk-in enquiries into one list. Weekend site visits are scheduled by venture, with the outcome and a call-back date noted against each family.

Bookings and payment schedules

Keep the buyer, plot, agreed price, token and booking date on one booking record. A payment plan per venture shows each instalment as due, received or overdue, with reminders before each due date.

Brokers and commission

Register brokers and channel partners with the buyers they bring, time-stamped at entry. Commission is worked out per booking at the agreed rate and shown as due or paid.

Buyer documents

Store booking forms, ID copies, sale agreements and loan papers against the booking. The venture record holds its approval references and registration numbers as you enter them.

Layout works and contractor bills

Run roads, drains, water lines, poles and the compound wall as stages with contractor work orders. Measurements become running bills, and spend shows against the budget for each stage.

Venture dashboard

See plots sold and unsold by phase, instalments due this month and layout spend to date. Owners can read every venture together.

Common questions

Questions plotted development companies ask before they call.

Can plots be shown on a layout map that buyers click?

Not as standard. Plots are held as a list with number, size, facing and status, filtered by phase. A clickable layout drawing can be built as separate work, quoted once the drawing is seen.

Does it get our layout approved or check land titles?

No. It records the approval references, survey numbers and documents you enter against each venture. Approvals and title checks stay with you, your surveyor and your lawyer.

Can buyer receipts and broker commission reach our accounts?

Not built in. Receipt and commission reports go to your accountant as they are. An export for your ledgers is a separate item, scoped and priced during implementation.

We sell farm plots and villa plots too. Does that fit?

Yes. Each venture carries its own plot types, sizes and rates, so farm plots, villa plots and residential layouts sit side by side. Which fields each type needs is settled during implementation.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
